Purpose:

Serve as the WSS Deputy Director, acting on behalf of the Center Director in his absence, and reinforcing his vision, priorities, and guidance across the WSS staff. Responsible for the coordination, synchronization, and professional administration of all WSS programs and operations. Directly supervise the Programs Director to ensure efficient and effective year-round utilization of WSS as a conference center resource. Directly supervise the Director of Hospitality to ensure effective operation of all front-office and administrative functions in support of WSS programs and operations. Directly supervise the Food Service Manager, ensuring the effective and safe delivery of delicious and healthy meals as part of the WSS Food Service program. Assist the Center Director in establishing and maintaining a healthy spiritual environment for discipleship of full-time and part-time staff, EXSEL interns/fellows, and seasonal staff. Provide programs that are deeply spiritually formative for our guests with a focus on integrating faith and profession. Cultivate opportunities for guests to connect spiritually and socially during their time at WSS and with their local OCF community.

Primary Responsibilities:

Support the WSS Center Director and the ministry of the Officers’ Christian Fellowship in establishing and maintaining a healthy spiritual climate at WSS that glorifies the Lord and promotes spiritual growth and refreshment for every guest that comes to WSS and every person that works on the staff, whether paid or as a volunteer. Promote the larger OCF ministry at every available opportunity.

Responsible to disciple, counsel and teach subordinates, encouraging and equipping them for growth in their faith in Christ. Responsible to establish and maintain a healthy spiritual environment for subordinates to work, learn and develop in. Lead devotionals and prayer at staff meetings as assigned. Lead prayer and devotional times with subordinates as appropriate to promote their spiritual growth.

Supervise the Programs Director to ensure the scheduling, contracting, and coordination of group retreats and conferences in which WSS acts as facility host. Ensure efficient use of WSS facilities—utilizing both Heritage House and Harrison House to the greatest extent feasible for ministry purposes.

Serve as the WSS Deputy by acting on behalf of the WSS Center Director in his absence and ensuring an understanding of his vision and intent for WSS to the greatest extent possible.

Monitor health on all systems of the conference center for the purpose of these systems coming together to provide an enriching retreat experience for all guests. The systems include but are not limited to facilities, rooming, housekeeping, staffing, automation, communication systems, food service, staffed rec activities (i.e., horse rides, challenge course, etc.) and unstaffed rec activities (i.e. hiking trails, archery, etc.). Take appropriate action for excellence when any of these systems are sub-par.

Ensure the WSS Office is the information “hub” for the entire WSS staff. Keep WSS operations synchronized and coordinated; ensure all staff members are informed of schedules, requirements, and changes. Responsible to ensure the quality and timeliness of WSS office work and to ensure they display a hospitable, helpful, and professional attitude when interacting with guests and staff members. Help foster a climate in the WSS Office of prioritizing guests, meeting guest needs, and ministering to guests.

Coordinate with the WSS Programs Director to ensure WSS Programs and schedules are planned and developed in a manner that supports WSS operations overall and WSS core values are represented throughout those events. In coordination with the Programs Director, receive hand-off of WSS program events for smooth execution as a WSS operation.

Execution duties include:

  1. Oversight of the daily execution of the conference schedule.
  2. Facilitate adult discussions and Bible studies, as necessary.
  3. Ensure execution of the children’s program through Teacher Coordinator.
  4. Ensure proper set up of all meeting spaces, including sound system, mics, speakers, projectors, tables, chairs, etc. for WSS events and retreat groups.

Serve as needed in the dining room with meals and with room changeovers as part of the WSS Ministry Team. Lead prayers and devotional times at meals as assigned.

Other duties as assigned by the Center Director.

REQUIRED QUALIFICATIONS AND SKILLS:

These are the minimum required qualifications in order to effectively execute the duties of Operations Director / Deputy Director:

    1. Must be a spiritually mature Christian and able to serve as a minister of the Gospel in example and conduct. Must have a high degree of Biblical knowledge and practice, able to teach, facilitate/lead Biblical discussions, mentor other believers, and empowered by the Holy Spirit to selflessly serve the mission of WSS.
    2. Bachelor’s Degree required, Master’s Degree preferred.
    3. Must have a military background. Preferably someone with at least 20 years of military service.
    4. Must have a demonstrated history of active participation in OCF ministry.
    5. Must have leadership and organizational skills to synchronize and coordinate the WSS staff/team for effective and efficient ministry in all programs and operations. Looking for someone with at least 15 years of proven, successful experience leading teams/organizations.
    6. Must have ability to assist the Center Director in the development of long-term strategies and plans for the stewardship of the ministry at WSS.
    7. Must have strong written and verbal communication skills.
    8. Must be detail oriented in order to review and approve schedules, contracts, etc.
    9. Must have strong team-building and relational skills to build relationships with and work with other WSS staff members, volunteers, outside contractors, and guests.
    10. Must possess a “can-do,” resourceful, frugal, and tenacious attitude to help solve problems and work through challenges.
    11. Must be mature and confident enough to have candid communication with the Center Director to ensure effective leadership of the WSS team and ministry.

Recommend expertise in MS Office 365 (specifically Excel, Power Point, Word), experience with managing IT systems, running and troubleshooting audio-visual systems, including sound mixing and video conferencing.

Working Conditions:

This position and opportunity should be viewed as a calling to serve and be part of the WSS ministry, not just another job.  This is a full-time, benefit eligible, exempt position. Working hours will be as necessary to accomplish the responsibilities of the ministry. Normal work hours are 0830-1730 (including 1 hour lunch break) on weekdays; work hours vary on weekends and throughout the Summer and Winter seasons but are typically 9 hours/day. However, longer hours are sometimes necessary to support ministry requirements. Days off: Monday under normal conditions and either Sunday or Tuesday as the weekend duty rotation schedule allows. During the Summer and Winter seasons,1 day off per week. Occasional out-of-town and some local travel is required.

Compensation for this position includes annual salary of approximately $40,000 with housing at WSS provided (including utilities), medical benefits (majority paid by OCF), retirement benefit, paid time off, and a food benefit due to access to the WSS dining room for some meals.
